Intake Specialist

We are seeking an experienced, reliable, self-motivated Intake Specialist to join our growing team. In this position, you will be a potential client’s first impression of Rice & Kendig and work to set up a client’s file and save the attorneys time by providing relevant facts that allow the attorneys to make quick decisions. Your job duties include taking and fielding all potential client calls and inquiries, assisting an attorney in the initial sign-up meetings, setting up files, drafting and sending letters of representation, and maintaining our lead management platform to ensure all potential clients are being contacted in a timely manner. Our ideal candidate has at least one year of experience in customer service or sales and is proficient with Microsoft Office.

Duties and Responsibilities:

  • Emulate the core values of Rice & Kendig in all aspects and provide an excellent client experience
  • Take and field all incoming potential client (PC) calls
  • Set appointments for PCs timely (ideally the same day of the call or within 24 hours of the initial inquiry)
  • Manage our lead management platform to ensure all PCs are contacted in a timely manner
  • Manage communication between our lead management platform and case management system
  • Meet and greet all PCs that prefer an in-person appointment
  • Perform electronic Intake for all PCs to include the following:
    • Open file in our CRM and assign a file number
    • Complete specified field in our CRM
    • Create new client contact card if applicable
    • Send e-signature documents
    • Obtain copies of all require documents
  • Request crash report if needed
  • Send letters of representation
  • Complete property damage claims (4-6 weeks turnaround)
  • Assign new case to a legal assistant
  • Any other duties assigned to this role as the role is developed. *Any additional duties will be added to this list and an updated copy given to the Intake Specialist*

Requirements and Qualifications:

  • 1+ years of experience in customer service or sales
  • Familiarity with legal procedures and terminology preferred
  • Proficient with Microsoft Office
  • Strong communication, organizational, and time management skills
  • Familiarity with technology and willingness to learn and adapt
  • Great teamwork skills
  • Highly self-motivated individual
  • Proactive mindset
  • Proficient spelling and grammar capabilities
